Open the order and find the Files flyout
- From your seller dashboard, go to the Purchasing worklist.
- Find the order you want to attach a file to.
- New orders your customer placed live under Action Required until you acknowledge them.
- Acknowledged and in-progress orders live under Finalized Orders.
- If you just received the order and do not see it, click Refresh.
- Click into the order to open it.
- On the right side of the order, open the Files flyout. The label shows how many files are already attached.

Attach a file
- In the Files flyout, either:
- Drag a file from your desktop into the flyout, or
- Click on the component to Browse and pick a file from your computer.
- The file uploads and appears in the list with its name and a Download and Delete option next to it.
- To add more files, drag or browse again. There is no cap on file count, file size, or file type. PDFs, images, part files, prints, and email exports all work.
You can attach files at any point in the order lifecycle, from the moment the order is placed through completion. If your customer calls back after acknowledgment and asks for an MTR, you can open the order and add it then.

What your customer sees
Your customer sees the same Files flyout on their side of the order, in the My Orders tab of their storefront. They can:
- See how many files are attached.
- Download any file you have attached.
They cannot upload, replace, or delete files. That control stays with you.

Your customer does not get a notification when you attach a file. If you want them to know it is there, reach out directly. They will see the file the next time they open the order and click Refresh.
Removing or replacing a file
To remove a file, open the Files flyout and click Delete next to the file name.
A few things to know about delete:
- Only the sales rep who uploaded a file can delete it. If your teammate uploaded an MTR, you will see it and can download it, but the Delete option will only appear for the user who uploaded it. Ask your colleague to remove it or upload the corrected version yourself and delete the one you own.
- If your customer has already downloaded the file, deleting it here does not remove their local copy. Follow up with them directly if you need them to discard it.
- To replace a file, upload the new version and delete the old one.
Good candidates for file attachments
Anything the order needs to travel with. Common examples:
- Material Test Reports (MTRs). The most common use. Typically attached when the order ships, so the certification travels with the material.
- Updated part files. If a customer sends a revised DXF or you had to adjust a print after the order was placed.
- Prints with title blocks. Ancillary drawings that support a fabricated part.
- Dimensional inspection reports. Post-cut QA documentation showing the part is within tolerance.
- Email correspondence. A PDF export of a thread that clarifies scope or a change your customer approved.
Because files stay on the order in Stella Source, you do not need to keep a separate MTR portal for orders you fulfill here. Everything lives with the order record.
Troubleshooting
My customer says they cannot see the file I just uploaded. Ask them to click Refresh on the order. New files appear after a refresh on their side. They will not get a notification, so let them know directly if the file is time-sensitive.
The Delete button is missing next to a file. That file was uploaded by a different sales rep on your team. Only the person who uploaded a file can delete it. Ask them to remove it, or upload your version and delete the copy you own.
I do not see a Files flyout on this record. Confirm you are on an order, not a quote. File attachments work on orders only. If your customer's request is still a quote, place the order first, then attach the file.
My file will not upload. Try a smaller file or a different browser. If it still fails, contact your Stella Source Customer Support Rep.
